Exhibitor faqs

Do exhibitors need to provide a door prize?

Yes. Each exhibitor is required to provide at least one door prize with a minimum value of $50. Door prizes will be collected at exhibitor check-in the day before the event or at the TACCA booth the morning of the event. Please attach your company name and contact information to the prize. Exhibitors will be recognized throughout the day during door prize drawings.

When is exhibitor load-in and load-out?

Exhibitors must follow all scheduled move-in and move-out times set by TACCA and UTSA.

Load-in will take place on Wednesday, February 18 from 1:00 PM to 6:00 PM. Load-in will resume on Thursday, February 19 at 7:00 AM. All booths and displays must be fully set up by 9:00 AM.

All materials and equipment must be moved using the freight elevators and the Student Union loading dock. Vehicles must be moved immediately after unloading. UTSA may issue parking citations for vehicles left unattended.

Load-out begins Thursday, February 19 at 3:00 PM. Booths may not be broken down before 3:00 PM. All display materials, boxes, and equipment must be removed from the UTSA Ballrooms by 6:00 PM the day of the event.

Where should exhibitors park?

The closest parking option is the UTSA Ximenez Garage. After parking, exit the garage from the north end. Directly across the garage is the HSU building. Walk to the left around the building, then take the stairs on the right. Enter through the glass doors to access the Ballroom entrance.

Surface parking is available for exhibitors and attendees on Thursday, February 19 only at Brackenridge Avenue Lot 1 (BK1) and Brackenridge Avenue Lot 2 (BK2).

How do exhibitor badges work?

Exhibitor badges will be available at check-in the day before the event. Badges must be worn at all times during the EXPO. Each exhibitor is allowed a maximum of four on-site staff members. Badges will be printed exactly as submitted.

What are the booth operation rules?

Exhibitors must remain within their designated booth space at all times. Booth materials, signage, or products may not obstruct aisles or exits. All items must be removed immediately following the event. UTSA will charge a $100 per day storage fee for any items left behind.

Is lunch provided for exhibitors?

Yes. Exhibitor lunch will be provided on Thursday, February 19 from 11:30 AM to 12:00 PM in a designated exhibitor area.

Are there prohibited decorations or items?

Certain items are not permitted inside the UTSA Student Union. These include glitter, confetti, candles, fog machines, aerosols, and silly string. Open flames, propane, hay, sand, and hazardous materials are prohibited. Adhesive materials may not be used on walls or ceilings.

Can exhibitors distribute food or beverages?

Exhibitors may not distribute food or beverages without prior written approval from both TACCA and UTSA. Only UTSA-approved caterers may provide food or beverages.

Who is responsible for clean-up?

Exhibitors are responsible for keeping their booth area clean throughout the event and for removing all materials, packaging, and trash. Trash must be placed in approved disposal locations.

What safety and compliance rules apply?

All exhibitors must comply with UTSA safety policies, health regulations, and ADA accessibility standards.

Who is responsible for damages?

Exhibitors are responsible for any damage caused to UTSA property, including carpets or equipment. Any repair or cleaning fees will be assessed by UTSA.
